Before You Fly: Remote Setup
The four things that get harder the moment you board — your Indian number, your bank access, your driving paperwork, and the money you plan to move — handled 4–6 weeks out.
Four things get harder the moment you board: your Indian mobile number, your resident bank account, your driving paperwork, and the money you plan to move. Doing any of them from a sublet in Sunnyvale means a notarised affidavit, a consulate appointment, or a courier to a branch in Bangalore.
Everything else waits. Apps, groceries, a US credit card, the DMV — trying to pre-solve those from India is wasted effort, and a couple of items on the standard before-you-fly list are actively better done late. The eSIM is one of them.
Lead times, so you can sequence this
| Task | Earliest useful start | Hard latest | Why the deadline |
| US entity + EIN | 6–8 weeks out | 4 weeks out | EIN issuance without an SSN runs in weeks, not days |
| NRO conversion / NRE opening | 4 weeks out | Your last week in India | Needs a branch visit. From the US it needs consulate attestation and courier |
| Large LRS transfer | 4 weeks out | Before 31 March if you fly Jan–Mar | The ₹10 lakh TCS threshold resets on 1 April |
| IDP | 3–4 weeks out | 2 weeks out | Most RTOs want your air ticket, and it isn't fully online |
| Virtual mailbox | 3 weeks out | 1 week out | Form 1583 notarisation plus 1–5 business days |
| Indian SIM: prepaid → postpaid | 3 weeks out | 1 week out | Needs KYC and sometimes a store visit |
| Travel medical cover | 2 weeks out | Day before you fly | Bought after landing, illness claims carry a waiting period |
| Indian roaming pack | 1 week out | Day before you fly | Activating roaming abroad can itself require an OTP |
| US eSIM | 3 days out | At the airport | Some carriers start the 30-day clock when the order processes, not when you land |
Keep the Indian number alive
Every Indian bank, UPI app, mutual fund, DigiLocker and Aadhaar service authenticates you with an SMS. Lose the number and you lose access to your Indian financial life, and getting it back from California is a months-long problem routed through your bank’s overseas branch.
Two separate risks, and people conflate them.
The first is roaming. A SIM sitting in a drawer in India receives nothing. You need international roaming active for the number to attach to a US network at all. Do it before you fly — on some plans the activation itself triggers an OTP, and that’s a loop you can’t break from a US IP address.
The second is deactivation, which is slower and takes the number permanently. Under TRAI’s rules a prepaid connection can’t be cut for non-usage for 90 days as long as you hold ₹20 or more. Past 90 days, ₹20 is deducted to buy another 30. Then 15 days of grace. Then the number is deactivated and eventually recycled to someone else, and every institution that authenticates you by SMS is authenticating them. Incoming calls and SMS count as usage, so a founder receiving an OTP every few weeks is fine. One who goes quiet for a quarter is not.
I’d convert to postpaid before flying if you’re staying past six months. It costs more monthly, removes the recycling risk entirely, and postpaid roaming packs carry 365-day validity from purchase where prepaid packs expire in 30.
On the pack itself, most people over-buy. You’re not browsing on Indian roaming at ₹45 a minute. You’re receiving OTPs.
| Option | Price | What it gets you |
| Airtel prepaid IR service pack | ₹118 / 28 days | Roaming activation with free incoming SMS. Everything else at standard rates. The OTP-only option |
| Jio annual IR pack | ₹2,799 / 365 days | 3GB, 100 min, 50 SMS |
| Airtel prepaid Global pack | ₹4,999 / 365 days | 5GB, 100 min, 100 outgoing SMS |
| Airtel prepaid 10-day | ₹1,198 | 3GB, 200 min, 20 SMS |
| Airtel postpaid 30-day | ₹3,999 | 30GB, then 80 Kbps |
The ₹118 Airtel pack is the one nobody mentions and it’s the right answer for most readers. Free incoming SMS is the entire requirement. Buy an annual pack only if you also want a working Indian number for calls.
Two things to check yourself. Jio prices by country group, so confirm the US sits in the coverage tier of the pack you’re buying. And Indian roaming prices moved twice in the last six months — price it the week you fly, not off any post you read earlier.
Keep WhatsApp registered on the Indian number. It runs over wifi and US data without roaming, and your groups and history stay intact.
Your US number: buy it late
The standard advice is to buy a US eSIM four weeks out so you land with data. Half right. Buy it early and install the profile early, but check when billing starts — on Tello the 30 days begin as soon as the order processes, not when you activate in San Francisco. Order three weeks out and you’ve paid for three weeks of service in a country you weren’t in.
I’d buy in the last few days, install in India, switch on after landing.
| Carrier | Price | Notes |
| Mint Mobile | $15/mo on every plan including unlimited — $45 for 3 months, $180 for 12 | Promo ends 30 September 2026. Renewal is $30/mo on the annual plan. Throttled over 50GB |
| Tello | From $5/mo build-your-own; unlimited $25/mo | Free calls to 60+ countries. eSIM clock starts on order |
| Ultra Mobile | Around $19/mo for 4GB | Bundles unlimited calling to India, which is why it's here |
All three are prepaid on T-Mobile’s network, and prepaid means no SSN and no credit check. Verizon, AT&T and T-Mobile postpaid will want an SSN or a deposit in the hundreds, neither of which you can clear in week one.
Your US number becomes an identity anchor faster than you’d expect — bank verification, deliveries, two-factor on everything. Pick a carrier you’ll keep for a year. Don’t run your primary line on Google Voice; US banks routinely reject VoIP numbers for verification.
Tell your bank you’re leaving
This costs the most to skip and appears on almost no checklist.
Under FEMA you cannot hold a resident savings account once your status changes to NRI. It isn’t triggered by a day count alone — leaving for business or an uncertain period establishes intent, which for a founder means the day you land. Running a resident account after that surfaces later as a frozen account or a KYC block, usually at the worst moment.
In order:
- Redesignate your resident savings account as NRO. The account number usually survives; the card and cheque book get reissued.
- Open an NRE separately if you’ll be sending USD home. You can’t convert a resident account into an NRE, so do both in the same branch visit.
- Ask whether your bank will pre-stage the conversion against your visa. Some, ICICI among them, process NRO applications before departure for people with documented reason to move.
- Update your status with your AMC, demat and PAN records, or your folios freeze on the first post-move transaction.
Do this in a branch while you’re still in India. The alternative is notarised or consulate-attested forms, couriered originals, and at some banks a voice verification call with a relationship manager. It works. It takes six weeks.
Move the money before you’re an NRI
The LRS ceiling is USD 250,000 per PAN per financial year. That’s not the constraint. TCS is.
Tax Collected at Source is nil on your first ₹10 lakh of outward remittance in a financial year, counted cumulatively across every bank, forex card and purpose you use. Above ₹10 lakh, anything that isn’t education or medical is collected at 20% on the excess.
Do the maths before you wire. Move ₹40 lakh in one go and roughly ₹6 lakh is taken at source. You get it back — TCS is an advance credit, it shows in your Form 26AS and offsets your liability when you file — but “back” means after your return is processed, which is a year of runway sitting with the tax department.
Three things that reduce it:
- The threshold resets on 1 April. Flying between January and March, split the transfer across the boundary and you get two ₹10 lakh windows.
- Quote your PAN on every transaction and check the PAN–Aadhaar link is live. Unlinked, the rate doubles.
- Spending abroad on an international credit card sits outside LRS, so it carries no TCS. That’s a standing deferral rather than a repeal, so confirm it still holds before you build a plan around it.
I’m not a CPA and this isn’t tax advice. If you’re moving more than about ₹50 lakh, or you’ll be RNOR in your first year, the split-year residency question is worth an hour with someone who does this professionally.
A US address that isn’t your friend’s couch
Mercury, Brex and Stripe all want a US mailing address before onboarding finishes, and your first debit card needs somewhere to go. A virtual mailbox solves it for $10–30 a month.
One real gate. USPS Form 1583 authorises a Commercial Mail Receiving Agency to accept mail for you, and it needs notarising with two forms of ID. As a non-US applicant you do this in an online notary session for $10–35, then the provider takes 1–5 business days. Anytime Mailbox is the cheap marketplace option with 2,500+ locations of uneven quality. Traveling Mailbox is a single operator, so scanning is consistent and included rather than roughly $4 an item.
Be clear about what this address won’t do. A CMRA address is widely rejected as proof of residence by the DMV, by landlords, and by consumer banks opening a personal account. It’s a business mailing address and a package destination. You’ll still need a lease or utility bill for the DMV, and that’s a week-three problem.
The IDP is a rental-counter document, not a licence
Get this one backwards and you’ll drive unlicensed while feeling covered.
California doesn’t require an International Driving Permit and recognises your Indian licence outright while you’re a non-resident. The IDP is a translation. It carries no driving privilege of its own and extends no deadline.
What binds you is residency. Once you establish it — a lease, a job — Vehicle Code §12505 gives you 10 days to hold a California licence. Not 10 days to start the paperwork. And California has no licence reciprocity with India or anywhere else, so you’re taking the written test and the road test from scratch.
That leaves the IDP worth ₹1,000 for two reasons: rental agencies frequently ask for one, and it’s an English-language document a police officer can read. Get it if you’ll rent a car in month one. Skip it if you won’t.
If you’re getting one:
- ₹1,000 via Form 4A at the RTO with jurisdiction over the address on your driving licence. An address mismatch is the most common rejection, so file a change of address first if your DL still says your parents’ house.
- Most states also want a Form 1-A medical certificate from a registered doctor, and many want your air ticket. You can’t do this one very early.
- Parivahan handles the form and payment, but end-to-end online issuance isn’t available in most states. Budget for an RTO visit and 3–7 working days.
- Valid one year from issue, or until your Indian licence expires, whichever comes first. Treat it as non-renewable from the US.
Health cover for the gap
You will land uninsured. Employer coverage doesn’t exist if you’re the employer, and Covered California enrolment takes weeks even though moving to the US opens a 60-day special enrolment window. The healthcare guide covers that part.
For the gap, buy a travel medical policy before you board. For a healthy person in their thirties it runs roughly $1–5 a day. Take $100,000 minimum; US emergency care makes lower limits meaningless.
Buy it in India. Policies bought after arrival typically impose a 5–10 day waiting period on illness claims, which defeats the purpose. And be honest about what it is — emergency and acute onset only, no routine care, no preventive care, pre-existing conditions excluded. It’s a four-to-eight week bridge. Running a year on travel medical is how people end up with five-figure bills.
Entity, EIN and the bank account
Mercury opens accounts for non-US founders on a passport and an EIN. No SSN, no US visit. It wants a real entity behind it, a live website, and a business description that reads like an operating company — thin single-member LLCs with no web presence get held or declined. If you are declined, replying with substance sometimes reopens it. Resubmitting the same application unchanged does not.
The long pole is the EIN, not the bank. Without an SSN it’s weeks. Start there and Mercury takes days once it’s in hand.
The structure decision — Delaware C-Corp versus LLC, flip versus fresh entity, ODI and FEMA implications — is in the entity guide, and the banking and credit sequence is in the money guide. Don’t make that call off a checklist page.
The documents folder
One cloud folder plus offline copies on your phone. The test for what belongs: can you get this from California? If no, it goes in.
- Passport and visa scans, every stamped page
- Degree certificates and transcripts, for O-1 and H-1B evidence and the occasional landlord
- 6–12 months of Indian bank statements, for rental applications asking for proof of funds
- Landlord reference letter and rent receipts — raw material for the rental resume you’ll need without US credit
- Vaccination records and current prescriptions, using generic drug names rather than Indian brand names
- CIBIL report download, PAN and Aadhaar copies, US-spec passport photos
Housing: four weeks, nothing longer
Don’t sign a lease from India. Photos lie, the block-to-block variation here is real, and you haven’t made the SF-versus-Peninsula call yet. Book a furnished month — co-living, hacker house, monthly Airbnb — and decide from the ground. The landing pad guide has the co-living maths and the neighbourhood decision tree.
Do this now
- Convert your Indian SIM to postpaid if you’re staying past six months
- Buy the ₹118 Airtel roaming service pack or your operator’s equivalent, and confirm roaming is live before you fly
- Book a branch appointment to redesignate your savings account to NRO and open an NRE
- Model the TCS on whatever you’re transferring, and split across 1 April if your dates allow
- Start entity and EIN — the only item here with a multi-week floor
- Set up a virtual mailbox and get Form 1583 notarised
- Apply for the IDP only if you’ll rent a car in month one
- Buy travel medical cover, $100,000 minimum, before departure
- Assemble the documents folder, weighted toward what you can’t get from the US
- Book four weeks of furnished housing and nothing longer
- Buy the US eSIM in the last three days
